NCIM is not your standard IT company. We are a close-knit team of 55 in-house employees working on high-end, long-running IT assignments for the Ministry of Defence, NATO, the Netherlands Forensic Institute and central government, among others. The work is serious and there is often genuinely something at stake, but we always tackle it with a smile. Together with Ndus3 we form a single tight-knit group (with Icelake Capital as majority shareholder).
Atmosphere and connection are central to how we work. There is always something to join in on: catching up at the weekly Thursday-afternoon drinks, a game of padel after work, building a 6502 processor together, slogging through a Mud Masters course or running the toastie maker into overtime. On top of that, we head off with the whole team every year: last year we visited Bletchley Park, this year CERN is on the programme! Because we are small enough to really know each other, the lines are short: talking to management here is just as easy as talking to the colleague next to you.
As Senior Finance Officer you are the driving force behind the day-to-day financial administration of both NCIM and Ndus3. You carry ultimate responsibility for the accurate, complete and timely processing of all financial transactions.
What sets this role apart is not only the list of tasks, but above all your attitude: you do not let discrepancies rest but get to the bottom of them, and you solve recurring problems at the root.
In this role you combine steering and coaching colleagues with hands-on execution:
- Independent execution: You run the full financial administration of Ndus3 independently and handle invoicing and administration for the other clients within NCIM.
- Functional leadership & quality assurance: You divide the work within the team, coach colleagues, check their entries (purchase, sales, bank and journal) and safeguard the fixed rhythms such as the invoicing run, the dunning round and the payment proposals.
- Preparing the closing: You make sure all balance sheet accounts are reconciled monthly, suspense accounts are clean and the administrations of both entities are delivered ready-to-use to the Financial Controller for the monthly closing, VAT returns and the audit file.
- Process improvement: You spot where administrative processes can be more efficient or tighter (less manual work, fewer errors) and redesign them in consultation with the CFO.
- Education: A completed bachelor's degree in finance or business economics as a minimum (e.g. Business Economics or Accountancy). Additional qualifications (PDB, MBA or a VAT specialisation) are a plus.
- Work experience: At least 5 years of experience in a broad financial role with your own responsibility for invoicing, accounts receivable and accounts payable.
- Leadership: Experience functionally steering, coaching or onboarding colleagues (formal management experience is not required; formal HR tasks sit with the CFO).
- Systems: Demonstrable and solid experience with Exact Online is a hard requirement. On top of that, you work comfortably in Excel with large files and reconciliation overviews.
- Professional knowledge: Thorough knowledge of the general ledger, suspense accounts, journal entries and VAT legislation (including international and reverse-charge).
- Ownership & analytical ability: You are strong at independently investigating and explaining discrepancies and pick things up proactively.
- Languages: Excellent command of Dutch; English at business level.
- Availability: Preferably available 5 days a week.
Ultimate responsibility & day-to-day administration
- Safeguarding the timeliness, accuracy and completeness of the monthly invoicing run for NCIM and Ndus3.
- Ultimate responsibility for tight accounts receivable and accounts payable management (including dunning, approval routes, payment proposals and G-account percentages).
- Independently running the financial administration of Ndus3 and specific client flows within NCIM.
- Safeguarding client-specific invoicing processes, including complex Defence processes (I3FL, RVB, reversed billing).
- Taking ownership of disputed invoices and stalled cases: you pick them up and see them through.
Leadership, coaching & mailbox management
- Functionally steering, onboarding and coaching the employees in the financial administration.
- Monitoring progress on the fixed rhythms and making sure open questions in the shared finance mailboxes are handled on time.
- Pitching in on execution during peak periods or when colleagues are away, to safeguard deadlines.
Control, general ledger & monthly closing
- Carrying out quality checks on entries and safeguarding correct tax/VAT treatment (including reverse-charge VAT and cross-border transactions).
- Reconciling and substantiating balance sheet accounts monthly, clearing suspense accounts and processing journal entries and accruals.
- Timely and complete delivery of reconciliation overviews, balance sheet specifications and intercompany reconciliations to the Financial Controller for the closing and the audit file.
Process optimisation
- Structurally removing recurring bottlenecks and errors.
- Drawing up and updating work instructions and making sure the standard controls are consistently followed.
