As Office Manager you are an indispensable link within our growing organisation, headquartered in The Hague. You make sure the office and facilities run smoothly, welcome our visitors and contribute to a pleasant working environment. You also take the lead in organising and coordinating company outings, team activities and events for our professionals, from coming up with fun ideas to the practical planning and execution. Arranging thoughtful gifts for employees is something you enjoy doing too. You work for both labels within our group: NCIM and Ndus3.

You are someone who likes to roll up their sleeves, switches easily between different tasks and enjoys supporting colleagues. With your organisational talent, commitment and proactive attitude, you make sure everything behind the scenes is well taken care of.

What you will do

As Office Manager you are responsible for the day-to-day organisation and coordination of a wide range of office activities. You are the central point of contact for practical and organisational matters and make sure colleagues can focus on their own work.

You combine facilities management and reception duties with organising activities that strengthen the connection within the organisation. From welcoming clients and guests and managing access and the parking barrier to organising a successful company event or sending a personal gift: you keep the overview and make sure everything runs like clockwork.

Your work is varied and ranges from day-to-day office organisation to supplier management and organising events. Your main areas of focus:

  • Organising & coordinating: You are responsible for the practical organisation of office activities, events and meetings. You keep the overview, monitor the planning and make sure everything is arranged on time.
  • Reception & access: You are the face of our office: you run the reception, welcome visitors, keep the visitor register up to date and operate the parking barrier and the access system.
  • Facilities: You take care of facilities matters: cleaning, catering, maintenance, purchasing and suppliers. You think along, take work off people's hands and ensure continuity.
  • Connecting & surprising: You contribute to a positive company culture by organising events for colleagues at the office and for our professionals working at clients, and by surprising employees with thoughtful gifts on personal occasions.
  • Improving & thinking ahead: You spot bottlenecks, see opportunities to improve processes and take the initiative to make the day-to-day organisation ever more efficient.
What we are looking for
  • Organisationally strong: you effortlessly keep track of different tasks, appointments and deadlines.
  • Proactive and independent: you see what needs doing, take the initiative and come up with practical solutions.
  • Accurate: you work carefully, especially with visitor registration, access management and budgets.
  • Flexible and stress-resistant: you handle ad-hoc requests well and know how to set the right priorities, even in busy periods.
  • Connecting and creative: you enjoy organising activities and contributing to a positive working atmosphere.
  • Good digital skills: you work comfortably with Google Drive, Excel and Word and quickly get to grips with new systems.
  • A hospitable and presentable appearance with which you give colleagues and visitors a friendly welcome.
  • Vocational (MBO) or bachelor's (HBO) working and thinking level, preferably in a facilities, secretarial or organisational field.
  • At least 3 years of experience in a comparable role, for example as Office Manager, facilities employee or receptionist.
  • In possession of, or willing to apply for, a Dutch Certificate of Conduct (VOG).
  • Excellent command of Dutch, both spoken and written.
  • A good command of English at business level is a plus.
  • Preferably available 5 days a week.
The role in detail

As Office Manager you have a broad and varied role in which you are both hands-on and coordinating. Within this role you get plenty of room to work independently and take responsibility for your own areas of focus.

Facilities, reception & access

  • You coordinate the day-to-day office operations and ensure a well-organised and pleasant working environment.
  • You are the point of contact for colleagues, visitors and external suppliers.
  • You take care of facilities matters such as cleaning, catering and maintenance, orders and managing office supplies.
  • You welcome colleagues and visitors in a hospitable manner.
  • You manage the visitor register, keys and access passes and operate the parking barrier.
  • You spot areas for improvement and actively contribute ideas for more efficient work processes.

  • You are responsible for organising and coordinating company events, team activities, meetings and other gatherings.
  • You handle the practical preparation, such as venues, catering, invitations and the schedule.
  • You contribute fun and original ideas to bring employees together.
  • You make sure our professionals working at clients stay engaged too, for example through knowledge sessions, drinks and a warm welcome when they join.
  • You arrange thoughtful gifts for employees on birthdays, work anniversaries and other special occasions.
  • You make sure personal moments do not go unnoticed and that employees feel appreciated.
